I get a lot of emails in with people asking me, Why do you call your program Party Promoting 3.0? What happened to 1.0 & 2.0??

Well, here’s the answer! They were never released. Version 1.0 was initially just an e-book of the program. Version 2.0 was born when I made it an audio book and added other audio elements to the program. The final version, Party Promoting 3.0, came to life when I added the videos, more audio, tutorials, template contracts, etc. So, there you have it! Sometimes you can save money by getting your flyer artwork from your designer and dealing directly with the printer. Compare the itemized prices your designer gives you for the design and print cost to what printing would cost you elsewhere. Submitting your artwork to a printer is easy and can be done online. Sites like PrintIn48.com are online print companies that will take your artwork submissions and are efficient in getting you back a quality product in a timely manner. Local printers do have an advantage of getting you next day print jobs, but you may be paying rush fees for that service. Try to plan ahead and order your flyers well before time so you don’t have unnecessary expenses.

7 Ways To Successfully Work With Your Nightclub or Event Venue

To be successful you need to develop a good working relationship and understanding with your event venue. You want to make your promotion a win-win situation for both you and the venue so that you don’t absorb some of the related cost in securing a location. Creating the image of a partnership with your venue is important to reaching your goals and a more successful outcome.

1. The first thing you want to do is obtain as much information about the venue prior to entering negotiations. You should know what good nights and what bad nights they currently have. Amongst other things, you should also know what other promoters they have worked with and what they expect of a promoter.

2. Once you sit down with someone from the venue, they may mention that they require a rental fee. Try getting it reduced or waived by requesting the venue to offset your promotional cost that will be bring more business to their facility. You can also mention that you can refer other promoters and get their venue rented out on a consistent basis for a reduced rate.

3. Once you’ve gotten a general agreement with the venue and start talking details, ask that they cover or split some of the in-house expense with you. You may want to include things such as security, police enforcement, and the DJ as expense line items that the venue can cover or help with.

4. Request that they run drink specials or an open bar on certain drinks to help stimulate bar sales. Being able to promote specials will beef up your promotion and give customers something to look forward to if they don’t have too much money to spend partying and drinking.

5. Ask the venue if they’re willing to give you a commission on the bar revenue if your event exceed their typical drink sales. This would be good motivation for you to get the bar sales as high as possible and give them a justified reason to reward you for a job well done.

6. Remember to be professional and respectful at all times when negotiating a good deal with your venue. If you get too comfortable in your dealings, you may see a lack of professionalism from the venue and may have issues with them signing detailed contracts with you or honoring them.

7. Be confident, be yourself, and relax. Go into each situation determined to get the deal that you want. Let your charm, and most importantly, your promotional plans speak for themselves. Present yourself in a way that the venue would not want to let your event pass them by.

8 Ways To Organize Your Party Promotion On A Shoestring Budget

When you want to have a great event, but you have to do it on a budget, you will want to make sure that you are finding ways to cut your expenses. There are many different things that you will have to pay for and you will want to make sure that you are able to get all that you need with the money that you have set for the party. Here are a few ideas when putting together a party on a shoestring budget.

1. The first thing that you will need to do is figure out what the maximum amount is you can spend. This is most important. However, you do not want to go too cheap if you do not have to. You want to stay on the proposed budget but not take too many shortcuts that you don’t have to take.

2. The next way to cut spending is to find all the friends and family members that you can to help you out with your party. You do not want to have to hire people unless you have to. If you can save money by having volunteers help, you should take advantage of it.

3. Shop wisely. You will also want to shop around as much as you can to try to find the absolute best prices and discounts that will help you come within or under budget.

4. Get donations. If you know someone that can help you with your party, like a family member or a close friend, you should ask them for a contribution. This will give you access to more money that you need to get things done the right way. You will find that a lot of people like to help out for a good cause or because they simply like you and like what you’re doing.

5. You need to find a location that will be very inexpensive or, better yet, free. You want to get a venue that is a good fit for your party, but also save you money in the long run. You’ll have to check around until you find a venue that will work with you or find the price that fits your budget as well as accommodate the majority of your needs.

6. Make the food for your event if you need to have food and appetizers. You will find that you can save a lot of money for your budget when you decide to make the food. Buying or having someone cater everything for your event can sometimes be expensive. You will want to make sure that you are allowed to bring outside food into your designated venue prior to moving on this. Some venues don’t allow outside food or either have a contracted caterer that you must work with. If this is the case, then you might need to consider another venue that will allow you to bring in food.

7. Advertising can take up a big part of your budget. You want to try and find inexpensive ways, such as emails and community networking websites, to get the word out. Although I wouldn’t advise it, you can consider making up your own paper flyers at home on your computer to print and hand out.

8. There is nothing wrong with trying to low-ball the people you’ll need to work with. You will want to try to negotiate everything from the design cost of your flyers to the cost of your DJ. This is a great way to come across unexpected savings that will further stretch your shoestring budget.

7 Things To Consider When Scouting For A Venue

1. Compatibility - Your venue needs to line up with the overall feel of the event you are trying to conduct. For example, if you’re trying to do an upscale black-tie event, you shouldn’t be looking at booking a venue that’s known for rave parties! And vice-versa, you shouldn’t look to do a crazy “Girls Gone Wild” themed party at a dress code enforced lounge. The theme and the venue need to coincide.

2. Cost – Some venues may require a rental fee or bar guarantee in order for you to use the space. Try to find a venue that doesn’t require any fees or upfront cost, but if they do, you’ll want to make sure you budget properly for that.

3. Location - Ask yourself, “Is the venue already a well known destination?”, if it’s not, “How hard is it to find?” Also, think about what part of town the venue is on. Is it far from your focus of clientele or is it near a bad neighborhood where customers may not feel safe to come? These are all good questions to ask yourself when deciding.

4. Capacity - You want to make sure that you don’t pick a venue that is too big for what you speculate your turn out to be, nor should you choose a place that is too small that can’t accommodate an expected large crowd. If you plan on promoting a party to your neighborhood or your college class mates, you may not need a venue that holds anymore than 300-400 people. But if you are promoting an event to an entire city of people and you have a big celebrity hosting the party, you may need a venue that holds 1500-2000 people. Just think practically about it when making this decision.

5. Parking - Parking can be a major issue. If there isn’t enough parking or if it’s insecure, you may have problems with your customers feeling safe about leaving their cars in undesignated areas around the venue. If the venue has a paid parking lot or mandatory valet parking you’ll want to be conscious of that too.

6. Age requirement & Dress Code - Be aware of what the age requirements are to enter and if the venue has a dress code. If you’re doing a college event, you may miss out on a lot of your clientele if the venue requires guest to be of age 21 and up and if they don’t allow sneakers and hats.

7. Sound system - Make sure that the sound system of the venue is up to par and that they have any special equipment that you may need for your event. Poor sound can ruin a night. There is nothing worse than a hot DJ playing great records and no one is enjoying the music because the sound system has no bass, or some of the speakers in the venue are blown. Bad sound will definitely lose your crowd.
