Party Promoter Tip #2 - Budget Celebrity Host

Tuesday, March 24th, 2009

The Official Party Promoter Guide - PartyPromoting.com

I did this video blog when I got in from the cold and was thinking about a way for Club Promoters working with a smaller budget to still get a “celebrity” host. Everyone can’t afford to have T.I. or Young Jeezy to host their party right!? So I titled it - A Lower Budget Way Of Getting A Celebrity Host. Basically, It’s about how to use a radio personality to act as your host. Radio personalities, or jocks, already have a fan base and they have access to the air waves to give you and your party shout-outs. This instantly gives your party credibility amongst the listening fans of that jock’s show and gives you exposure without having to buy expensive radio ads!

4 Ways To Ensure That Your Party Promotion Will Go As Planned

When you’re putting together a great event, you want to make sure everything is perfect so that it all goes as planned. This may not always be easy, and in fact you will have to work hard at it to make sure that it does go the way that you are hoping. You shouldn’t get all worked up about your event. As long as you have the right resources and the work ethic to do it, you will have a great and successful time.

There are four ways to ensure that your event will go just as you have planned. You will first want to make a budget. Once you know how much you can afford, you will then be able to plan out all that you have to spend on your purchases. Budgeting will give you some kind of starting point of estimating expenses, expected revenue, and profit. It’s very important to stick to your budget so that you’re not forced to overspend and you get as close to your target outcome as possible.

Once you have the budget in place you will want to make a to-do list. This is the second way to ensure that everything goes as planned. Once you have a list of all the materials and things that you need to organize, you will then be well on your way to making the most of your event. Plan ahead so you can have time to search for all the best deals on the things you need instead of having to rush the process. Keep track of what’s on your list and check things off to assure you’re not forgetting to take care of the minor details. You will find that putting together your party will go a lot easier and be less stressful when you have a great plan to go off of. The goal is to stay organized and on track.

The third way to ensure that your event goes as planned is to make sure that you have a lot of help. You don’t want to take on all the challenges of running an event all by yourself. You want to have a good team assembled so that you are able to make the most of your party. You want to have friends help you out as much as possible, as well as even hiring some extra hands to get everything done for you. They will also be able to keep an eye on things at the event. They can watch over and make sure that all is running smoothly - and if there is a problem, they can try and fix it before you even find out about it. This will be a great help and also take some of the stress off of you when these situations arise. You never want to be overwhelmed with details. Have your helpers handle the little things while you focus on the big picture.

The fourth tip is to stay aware of unexpected things that can happen. You will want to be on the lookout for any thing that can come up and be prepared to handle it. Having some “plan B’s” and backups in place is the best way to prepare for incidentals. The key thing to remember when facing an unexpected happening is to stay calm. You do not want to get yourself worked up too much. You want to make sure that you are calm and collected so that you can handle any problems that may come up at the party. Keeping your cool will help you stay focused on finding solutions to any problems and better delegate people to the task that will get things back on track.

Tips To Transform Your Event Venue

Typically, nightclubs are very well decorated and have high quality lighting and decorative fixtures. But, what if you’re throwing a party at a non-nightclub venue that you’ll need to decorate yourself? When it comes to transforming an event venue such as this, you can do a lot with very little funds. You can change the whole mood of a place by following some of the easiest tips found here. You may have to be able to take a dark room and fill it with romance or make a serious looking room more fun. All you have to do is think about the mood that you want and what particular things you can most effectively spruce up.

First, consider adding a splash of color and boldness. You can add some boldness by getting some nice things like cloths and other decorations to bundle or design your room with. If you get a lot of long sheets of interesting fabric you will be able to add both color and boldness to the venue. You can let them hang from the ceiling or have them gently flow through the room. Your creativity has no limits when it comes to adding colors and boldness. The only thing that you want to avoid is colors that will be too bright for the occasion. If you are going for romance, stick with red hues; if you are going for a more fun feel, stick with some of the brighter and bold colors. The decorations are at your discretion, but first, you need to make sure that you don’t have any limits because of venue rules. Simply talk to the venue about your decorating plans before signing a contract with them.

You should also think about small, little things that will be great accents. Try visiting low-priced arts and craft stores to find tons of things to use as accents. You may want to purchase scented candles or you may want to use simple things like petals and pearls. When it comes to sexy events, you can’t get any more romantic than using rose petals and pearl beads. If you are on a budget, you can find plenty of things like candy, fake crystals, pieces of glass, stones, and other things to place on the tables to accent the room.

Another tip to consider is to use décor items of various heights to add dimensional contrast to the room. You may want to use things like pillars or candle holders to get the dimensions going. If you have a small room, the height will give you some added depth. Tall center pieces on tables can help in creating this effect. You’ll want to make sure that the items you get are stable enough so they can’t be knocked over. This will keep your guests from getting hurt and prevent any damage to the property.

When you use flowers you are able to change the room entirely. This tends to make everything seem brighter and glowing. If you’re going for the more radiant look, you should consider getting some bright flowers to place around the venue. You don’t have to go overboard on the flowers, but if you watch your budget, you should be able to squeeze some flowers in here and there if it suits your event theme.

Maybe it is not the décor of the room, but the size of the room that bothers you. If you change the tables in the venue, you will be able to make the room feel smaller or bigger. For rooms or venues that are smaller, you should add round tables. The round tables will give the illusion that there is more room, and your guests will be able to feel it. If you would like to make a larger room appear to be smaller you can always add long square tables into the mix.

The last tip is about the lighting. Lighting is everything when you’re trying to make an impact on the mood of your venue. Consider using tea candles with unique candle holders or some other type of cool lighting that can be set on tables or on the bar. Most venues should have house lighting and fixtures that can be dimmed or adjusted to your liking that will fit the vibe of your event. If you’re looking to make things more exciting, stop by Walmart and pick up some strobe lights and disco balls. These are very affordable and will put some life into a dead room.

5 Things To Look Out For When Planning Your Club Promotion Logistics

There are many things that you need to look out for when you are planning an event that will be a great success. You will want to take into consideration all the things that can go wrong so that you are prepared if anything pops up. You want to be prepared and able to take on any challenges that come your way.

1. One of the first things to look out for when planning is getting your flyers and promotional material ready to go out on time. If there is a delay with the design, the printer, or the shipping for any reason, it could possibly throw off your whole plan of attack. Give yourself ample time when preparing your promotion to factor in loss time or mistakes.

2. Other local events can be potentially damaging if they fall on the same day as your party. You could possibly get washed out if it’s catering to the same demographic of people your looking to get. Not to say that you should never attempt to compete with something else going on in the city or get nervous if something pops up on you after you’ve already set your date. You have to pick your battles and always go at it as hard as you can, regardless of what anyone else in the city is doing.

3. Parking can be a major issue. If there isn’t enough parking or if it’s insecure, you may have problems with your customers feeling safe about leaving their cars in undesignated areas around the venue. If the venue has a paid parking lot or mandatory valet parking you’ll want to be conscious of that too.

4. On the day of the party, you should check up on your team and staff to make sure everyone is on point. If your DJ, cashier, or security has a last minute cancellation, you’ll want to know this as soon as possible so you can make other arrangements.

5. Make sure that the sound system of the venue is up to par and that they have any special equipment that you may need for your event. Poor sound can ruin a night. There is nothing worse than a hot DJ playing great records and no one is enjoying the music because the sound system has no bass, or some of the speakers in the venue are blown. Bad sound will definitely lose your crowd.

6 Key Factors Of A Good Co-Promoter

Planning an event is a big job. No matter what type of event it is, you will find that there is a lot of different things that you have to make sure get done. You need to be focused and ready to take on this type of challenge when it comes to planning an event. If you are not able to handle it all yourself, you will want to think about incorporating a co-promoter.

There are a few different key factors that are important when you are trying to tie-in with another promoter. You need to think about the person that you are looking to work with and what they can do for you. You have to learn to pick and choose people you work with wisely so that you are not finding yourself in a bad situation later on.

1. You will want to make sure that you are enlisting an equally successful, or a more successful, event promoter that has a following that you can build upon. They also need to have a good following and reputation amongst the audience you are seeking to plan an event for.

2. Be sure that the potential co-promoter has resources and relationships that can help the promotion. It would be best if they had their own email list of clientele that could complement your own.

3. Make sure that whoever you work with has available funds. You want to go in equally on all cost and expenses that must be incurred for the promotion. Never front the cost for anyone.

4. You need to make sure that you are working with someone that is ready to mutually take on all the tasks and challenges of the planning and execution of the promotion. Some promoters might already have some other things on their plate and not give you their all towards your co-promotion. Make sure this doesn’t happen.

5. A thorough and organized co-promoter is always a big plus. Someone that keeps good event records, ready and willing to sign contracts with you, and documents their expenses and receipts.

6. Last but not least, they must have integrity. A co-promoter with integrity is a key factor when you must trust that person with money, deals, and other matters that concern the promotion. Try to do a little background detective work on an individual before jumping straight into bed with them.
